High volume batch scanning

By high volume batch scanning, or production scanning, we mean work that involves scanning a relatively large number of documents. This could be either a part of the daily routine in your company, for example scanning all incoming mail to PDF. Or it could be a one-time large project, for example converting an entire existing archive of paper documents to PDF/A.

A well designed, automated production scanning system will benefit your company or organization in many ways:

  • Fewer people will spend time on handling paper documents
  • Less time spent on quality assurance and rescanning of documents
  • Reliable capture of vital information
  • Good response time and accuracy when searching for information
  • Be less vulnerable to hardware failures

Scanning and registering documents one by one is inefficient and costly. The key to successful production scanning, is setting up a good batch scanning system. Important things to consider in this design are:

  • Throughput requirements, i.e. document volume and scanning speed
  • Separation and indexing method
  • Page sizes and color
  • File format requirements
  • Storage requirements, file size, network bandwidth, retrieval response time
  • Types of display and printing devices

Choose scanner(s) that matches the scale of your project. Saving money on this investment initially can turn out to be very expensive later on, if your project exceeds the time frame, or if people in your organization always have to sit and wait for their scanned documents before they can get on with their work.

Choose software and setup that matches the performance of your scanner and your desired document flow. Investing in an ultra-fast, $6000 document scanner and using only the "free" software to scan with, isn't always as cost effective as it would seem.

With PixEdit Desktop you can be sure that you are always using the maximum potential of your document scanner and your computer.

With PixEdit Server you can do the document processing and optimization automatically as a service on a server.

With a combination of PixEdit Desktop and PixEdit Server, you will have the most powerful solution with complete scanner control, speed processing and manual control possibilities.

Estimating the workload and yield when planning a large scanning project is often not straightforward. A lot of factors have to be considered and the error margins quickly add up. Over sizing the project and its initial hardware investments must also be avoided, of course.

By using PixEdit® as your scanning software, planning is a lot easier, because it will be very easy to upscale the production later on.

  • Unlimited volume of documents
  • Supreme performance and scalability
  • Use any type of scanner

PixEdit® Software can be seamlessly integrated with your document and content management system (DMS/ECM) and deliver batch-scanned documents directly to the database or indirectly via a manual registration process.

Scanning many documents as one batch, one usually gets one single, big file back from the scanner. You need a way to automatically identify each document and divide the batch into separate files.

With large batches of documents, automating the cleanup and optimization of the scanned files is particularly important. You need a reliable and efficient system which ensures that each document going into the database is perfectly readable and preserves all information from the original on paper. PixEdit® offers a whole range of advanced image processing functions to help you with this.
In production scanning, with thousands of documents in the system, file size is also a big concern. In PixEdit®, you have the best and fastest compression algorithms to minimize file size while retaining a pristine image quality.
